Marketing, Events, and Common Area Coordinator

Position Summary:

 
SUMMARY
The Special Events Coordinator provides support to the Marketing Manager, General Manager, Operations Manager and Specialty Leasing Team with operational activities in events, vendor oversight, merchant transitions and equipment/supplies.  They will also provide assistance with maintenance and operations, accounting and finance, occupancy services and helpdesk as needed. Serve as support for the Marketing Manager to ensure the JLL marketing philosophy (three platforms: Marketing for Leasing, Marketing for Sales, Marketing for Additional Revenue), tools and core practices are effectively implemented to provide superior client service for maximum client satisfaction.
 
ESSENTIAL FUNCTIONS
MARKETING STRATEGY DEVELOPMENT

  • Assist in developing and implementing the entire marketing program for the retail property based on the strategic goals. 
 
MARKETING STRATEGY IMPLEMENTATION
  • Assist in coordinating and implementing special events and programs to support merchandising efforts to the level necessary as outlined in the strategic plan; work with retailers to involve them as appropriate
  • Assist in maintaining and implementing the center’s digital media programs and web site (as applicable)
  • Work with the Marketing Manager to identify sponsorship and ancillary income opportunities and create packages to present to the prospect
  • Work with Marketing Manager to review monthly sales reports to have a thorough knowledge of retailer sales and track key retailer and category trends
  • Establish an ongoing partnership with tenants to maximize individual store sales through a retailer communication/sales program/visual merchandising
  • Complete all tasks as assigned by Marketing Manager, General Manager or Regional Marketing Manager
  • Have knowledge of the trade area including all competitive properties, trade area and customer demographics and available media
  • Assist Marketing Manager in collecting secondary research information.
  • Assist in developing and maintaining an appropriate level of involvement in community activities representing the property and JLL
  • Support Marketing Director in achieving all ancillary income goals and objectives
  • Follow corporate policies and procedures for all programs and promotions
  • Prepare all vendor contracts for events, displays, shows and samplings
  • Assist in preparation of all memos, correspondence and announcements to all merchants and retailers
  • Install all in-center collateral as directed
  • Should a gift card program be implemented, assist in its development, implementation and maintenance
  • Provide administrative support
  • Provide Supervisor Service
  • Collaborate with the Marketing Manager, Specialty Leasing Manager, General Manager and regional resources to achieve client-driven property business goals while ensuring that JLL’s Core Practices are followed
  • Schedule and manage day-to-day operations of Customer Service (where applicable)
 
RETAIL
  • Must have previous experience in the following areas, preferably in a Retail setting:
  • Social Media Marketing
  • Digital Marketing
  • Mobile Marketing
  • Special Events
 
COORDINATION
  • Coordinate with catering, vendors, guest services, facilities staff and merchants
 
TICKET RESPONSE
  • Resolve event ticket requests in a timely manner
 
WALK-THROUGHS
  • Conduct walk-throughs with clients, vendors or merchants for upcoming events
 
ADMINSTRATIVE SUPPORT
  • Create room reservations, arrange room set up, and arrange package and furniture deliveries
  • Update tenant and vendor certificates of insurance
  • General filing
  • Oversee incoming and outgoing packages, courier, faxes, work order escalation notices and ensure courtesy call backs for on-going tenant issues
  • Prepare conference call minutes, meeting minutes, etc. as requested
  • Work with Specialty Leasing Team to track legal correspondence and leases as requested
  • Assist in preparation of construction updates and agreements as they pertain to Specialty Leasing
  • Review security reports involving Marketing events or Specialty Leasing for accuracy
  • Assist Specialty Leasing Team with tenant communications including tenant move-in orientation and tenant move-out process
 
ACCOUNTING
  • Assist in the collection of Tenant Sales Reports
 
EDUCATION AND EXPERIENCE
  • HS Diploma
  • Bachelor’s degree, Business Administration/Marketing, preferred
  • 1+ year’s prior experience in events, facilities, or property management
  • 3 – 5 years prior experience in events, facilities, or property management, preferred
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Excellent communication, organization and problem solving skills
  • Proficiency in a range of IT tools and platforms
  • Effectively deal with stressful situations
 
OTHER
  • Self-motivated, work independently with little supervision
  • Confident, energetic, and flexible
