Duties:

This position is located within the North Florida/South Georgia Veterans Health System (NF/SG VHS) in Medical Administration Service located in Gainesville, FL. Duties and program responsibilities include but are not limited to the following:

  • Ensures timely filing, retrieval, and administrative duties associated with the retention, maintenance, disposition, and control of paper medical records.
  • Ensures accurate and timely scanning/indexing of clinical and administrative documents by distributing and balancing the workload in accordance with established policies, procedures, and priorities.
  • Continuously monitors work status making a day-to-day adjustments to work assignments as needed referring complex matters such as backlogs to the File Room Supervisor.
  • Maintains records of work accomplishments, time expended, and prepares production reports as requested.
  • Performs quality assurance reviews and amends or rejects work not meeting established standards.
  • Serves as a resource for other employees on all file room activities.
  • Trains new employees in accordance with established procedures and practices and advises the supervisor of employee performance, progress, and training needs.
  • Maintains privacy and confidentiality in accordance with established laws, directives, policies, and procedures.
  • Independently performs work in conformance with established laws, directives, policies, and procedures.

   

Work Schedule: Monday - Friday, 8:00 am to 4:30 pm

Qualifications & Evaluations

    Specialized Experience:

    Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade (GS-04) in the federal service. In addition to experience, applicants must demonstrate the following Knowledge, Skills, and Abilities:

     

    1. Knowledge of computer technology and procedures regarding imaging and scanning applications, fax applications, numerous Vista and CPRS applications
    2. Knowledge of Vista record tracking program in order to expedite requests for retrieval of the CHR.
    3. Ability to review content of the documents to determine subject matter of diverse types of records in order to appropriately make a decision on whether the information is to be scanned, correctly index the information and determine the appropriate title to use. 
    4. Knowledge with which to periodically identify, organize and ship inactive records to federal archives or the appropriate VHA medical center.
    5. Knowledge of filing sequence of both administrative and medical records.

     

    OR Education: Applicants must have four (4) years above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

     

    Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).  Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.  You will receive credit for all qualifying experience, including volunteer experience.
