Duties:

This position serves as the Advanced Medical Support Assistant on the Patient Aligned Care Team (PACT) within Ambulatory Care. On a regular and recurring basis duties and program responsibilities includes but are not limited to the following:

·         Maintains appointment schedules for one or more outpatient clinics

·         Maintains and assists with clinic access contingency plans

·         Updates and verifies demographic information

·         Screens/Receives telephone calls in a courteous and timely manner, and determines the nature of requests and provides response or routes it to the appropriate person using privacy rules and established clinic procedures

·         Manages the Electronic Wait List (EWL) and Veterans Choice List (VCL) in accordance with published regulatory guidance

·         Schedules appointments accurately and in a timely manner; notifies supervisor of issues with clinic access; and reviews consult requests on a daily basis

·         Utilizes various databases to extract, categorize and collate specific patient/provider metrics required to manage the chronic and preventive health care needs of the panel

·         Develops and maintains specific reports used by the team to monitor, track and trend care delivery as well as participating/leading quality improvement efforts focused on cost, access, quality and satisfaction

·         Participates in daily teamlet huddles and weekly meetings in regards to patient care planning and management

·         Independently manages responsibilities and adjusts priorities and deadlines according to meet team and patient needs

·         Provides administrative support to clinical and other administrative staff throughout the Primary Care Area, which requires administrative scheduling and appointment coordination for diagnostic testing and consultative appointments for many clinical services

·         Meets the need of customers while supporting the Medical Center and Service missions

 

Work Schedule: Monday - Friday, 7:30 am to 4:00 pm

Qualifications & Evaluations
  • Basic Requirements:  

    • U.S. citizenship.?? Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
    • Proficiency in written and spoken English
    • One (1) year of specialized experience equivalent to the next lower grade level (GS-05).


    Specialized Experience: Applicants must have (1) year of specialized experience equivalent to at least the next lower grade level (GS-05). Experience is any work that equips the applicant with the particular knowledge, skills, and abilities (KSAs) to perform successfully the duties of this position, and that typically in or related to the work of the position to be filled.

     

    You will be rated on the following Knowledge, Skills, and Abilities based on your application for this position:

     

    1. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.

    2. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives.  This may include preparing reports in various formats and presenting data to various organizational levels.

    3. Advanced knowledge of the technical health care process as it relates to access to care.

    4. Advanced knowledge of managing a clinic.  This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

    5. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

    6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

    Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).  Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.  You will receive credit for all qualifying experience, including volunteer experience


    Grade Determinations: The Professional Standards Board (a peer-review group) will review the selected candidate's qualifications and recommend the grade and step at which the candidate will be placed. The salary is based on the grade and step approved for the selected candidate.
