Primary Purpose
 
To facilitate the transfer of new hires and key employees within the U.S., cross border, and international sites and administering the relocation policy and management of the process and procedures.  This position services both homeowners and renters, as well as project employees, providing guidance and counsel.
 
Relocation Specialist administers all aspects of the policy and procedures and is responsible for delivery of superior customer service reflecting the company’s culture and business strategies.
 
Policy and Procedures
 
  • Responsible for process management and program administration of all relocations.
  • Responsible for providing counsel and advice to transferees and communicate to new hires / transferees and their families the relocation policy, process, procedures, and tax implications.
  • Provide guidance on relocation tax law and tax compliance for W-2 reporting to employees.
  • Authorizes required service providers (household goods, corporate housing, etc.) and monitors process to ensure adherence to policy guidelines.
  • Maintains continuous written and verbal communication with employee and service provider and provides guidance for smooth relocation in compliance with program procedures and tax laws.
  • Responsible for design, layout, and production of the policies, procedures, and forms.
  • Contributor to development of and responsible for creation of the electronic customer satisfaction survey
  • Contributor to the development of the move completion call and supplier performance scorecard.
  • Responsible for maintaining the department’s current files, storage files, and the Relocation share drive.
 
Reporting
 
  • Audits all relocation expense reports and all invoices, codes to applicable cost center, and submits regularly for approval.  Submits to third-party provider for weekly payroll processing and production of payroll reports.  Responsible for submittal of payroll reports to Accounting and Payroll for inclusion on W-2 reporting.
  • Responsible for development of tracking format, reconciliation, and reporting of dual role and international assignment employees’ expenses, tax components, and records to Accounting and Payroll.  Interaction with internal and external customers necessary for compliance reporting for W-2 purposes.
  • Responsible for production of 4-week period Excel charts and matrix report capturing relocation cost components by employee cost, benefit expense, and divisional expense responsibility.
  • Responsible for maintaining policies, procedures, and forms on relocation share drive and keeping current.
  • Responsible for maintaining the relocation web site on the company intranet and keeping up to date.
 
Tax Compliance
  • Responsible for coding all expense reports/invoices and processing to third-party provider.
  • Produces weekly payroll and accounting reports from third-party provider and oversees the auditing function, and document production for wire transfer and submission to Accounting and Payroll Department.
  • Involved in year-end reconciliation process for W-2 reporting.
  • Responsible for project employees’ setup of housing and reporting to Accounting billing to cost center.
 
Other
 
  • Works closely with team members as a team player and interact with internal and external customers as required.
  • Keep updated on best practices, laws and regulations via white papers, webinars, and seminar attendance.
  • Engage in and practice Corporate Social Responsibility.
  • Strong verbal and written communication skills.
  • Excellent organizational abilities.
 
Physical Environment
  
  • Most work is performed in a temperature-controlled office environment.
  • Incumbent may sit for long periods of time at desk or computer terminal.
  • Incumbent may use calculators, keyboards, telephone, and other office equipment in the course of normal workday.
  • Stooping, bending, twisting, and reaching may be required in completion of job duties.
