Program Administrator

Job Summary:

Responsible for working closely with the Program Manager and the Field Account Executive to coordinate the implementation of managed programs and to communicate the program requirements at a detail level. Supports Account Services Managers & Art Directors in the development & execution of all program/client collateral and web initiatives.


Primary Responsibilities:

·         Maintains ongoing knowledge of internal systems & processes 

·         Addresses operational procedures relative to client requirements

·         Works with the team in responding to internal & external client requests during the development of projects 

·         Communicates information relevant to catalog production to internal support departments 

·         Completes assembly of program paperwork

·         Logistical coordination to assist the Account Services Manager & Art Director while tracking down open questions 

·         Database population, copy editing, product sorting, department product syn. 

·         Track down samples, package & execute logistics 

·         MediaBank image management

·         Development and distribution of client related and internal reporting needs

·         Coordinate proofing and proof routing

·         Assist with site sale prep & kitting fulfillment projects

·         General Admin duties and other duties as assigned

·         Consistent on time and accurate completion of projects and task related items

 

Education/Experience Equivalent:

  • High School Diploma or equivalent combination of education and experience

·         Some college coursework or Bachelor’s degree preferred

 

Preferred:

  • 2-4 years of related experience
  • Strong “business” communication skills, both written and verbal, and the ability to effectively communicate with all levels of internal and external stakeholders and support functions
  • Maintains a high degree of professional acumen while developing skills in salesmanship and managing difficult relationships
  • Strong ability to balance multiple projects simultaneously and meet required deadlines
  • Strong demonstrated project management skills; formal training desired
  • Emerging skills in the area of “strategic business sense”, including marketing strategy, pro-active ideation, profitability awareness and analytical skills
  • Requires a self-motivated and energetic personality
  • Flexibility to travel when necessary based on account needs
  • Solid PC skills (Word, Excel, PowerPoint)
