Facility Coordinator

8:30 PM – 5:00 PM
Occasional OT (as approved)
 
OVERVIEW
The Facility Coordinator position combines the facility management discipline along with small projects execution and occupancy planning support services.  This position will be responsible to provide a high level of customer support to corporate office occupants and guests. 
 
The Facility Coordinator must have a basic understanding of facility operations and systems, be able to organize and prioritize multiple tasks and have strong customer service skills with a wide range of clients, contractors and co-employees. Client first hospitality.
 
ESSENTIAL FUNCTIONS

  • Organize and manage functions related to facilities management,
  • Provide primary facility services support
  • Process all service requests using web-based programs and tools
  • Maintain efficient filing system for general building, vendor and contract files
  • Track budget line items and resolve negative variances
  • Respond to requests for information from customers and vendors
  • Draft, prepare and review facility documents
  • Assist the accounting team, track and process invoices and purchase orders
  • Coordinate building maintenance activities
  • Enforce compliance with insurance requirements among contractors and vendors
  • Monitor contractor performance per services agreements
  • Incorporate churn-related information into Space Management Tool
  • Maintain on-site furniture inventories
  • Manage small projects from initiation through project close out
  • Adhere to client standards and guidelines
  • Coordinate activities of sub-contractors Supervise physical relocation of office content and systems
 
EDUCATION AND EXPERIENCE
  • Bachelor’s degree or equivalent, preferred
  • Minimum 3 years of Facilities-related experience
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Excellent communications skills both oral and written
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Possess the ability to learn new computer software programs
  • Understanding of routine accounting methods
  • Basic understanding of office technology, systems & equipment
