Facilities Move Coordinator

JLL - Rockford, IL

Position Summary:

SUMMARY
Coordinate and supervise clerical/administrative support function for move management team.  May perform basic move management duties.
 
ESSENTIAL FUNCTIONS
ADMINISTRATIVE SUPPORT (20% – 40%)

  • Ensure operations manual is in place and updated on account
  • Receive and process client move requests
  • Take meeting minutes and distribute to project team
  • Create and distribute move communications and labels to clients
  • Perform move day duties to include but not limited  to: Pre and post-move inventory, furniture inventory, hanging move signage, and supervising movers
 
MOVE MANAGEMENT (60%+)
  • Proactively manage move-related issues on account or assignment.
  • Ensure client satisfaction throughout the move management process
  • Coordinate move with property management, facilities management, all parties involved in moves, etc.
  • Ensure all move management activities are performed in a manner consistent with documented processes
  • Work order and small project management, including but not limited to furniture reconfigurations and space enhancements
  • Incorporate “best practices” into move projects
  • Ensure move processes are managed in accordance with the client’s and JLL’s policies and procedures
  • Adherence to move management schedule and budget
  • Ensure data accuracy within move management and CAFM systems
 
MISCELLANEOUS
  • Any and all other duties and tasks assigned.
  • Compliance with all JLL policies and procedures, including but not limited to time & expenses, ethics and business practice.
 
EDUCATION AND EXPERIENCE
  • Bachelor Degree from an accredited institution, preferred.
  • 0 – 2 years practical experience.
  • Background in project management, construction management, architecture or project strategy planning, preferred
  • Experience using a facilities management system
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Excellent written and verbal communication skills
  • Detail oriented
  • Ability to multi-task and work both in a team and independently  
  • Strong interpersonal skills with the ability to interact with executive level internal & external clients
  • Organizational & detailed-oriented with the ability to prioritize and manage differing needs of the business.
  • Basic proficiency with Microsoft Office products.
  • Knowledge of construction or commercial real estate industry.
  • Familiarity with architectural drawings and furniture and space planning concepts
 
HOURS | TRAVEL
  • Flexibility with work hours and travel, as needed
