Position Summary:

OVERVIEW
Performs administrative and office support activities for multiple manager and director level individuals. Duties may include fielding telephone calls, receiving and directing visitors, document processing, creating detailed excel spreadsheets and presentations, and filing. Position is also responsible for entry as directed for items such as travel, expense reports and meeting coordination. Additionally, position is responsible for the project control of the JLL One View Project and One View Spend applications to maintain all information related to current and past projects.
 
ESSENTIAL FUNCTIONS

  • Maintain Project app and Spend app in JLL One View system to ensure proper and timely updates for all project activities, which includes weekly budget updates and review to assist PM’s with current status
  • Maintain client ‘eSAF’ system for proper and timely deliverance of client Purchasing Process
  • Coordinate complete and proper data entry to speed PO process
  • Maintain daily reporting and tracking of PO process
  • Maintain calendar and secure travel arrangements as directed.
  • Organize files as directed and maintain directory of stored files.
  • Provide administrative support to create, modify or finalize documents as directed.
  • Send documents via mail, UPS or FedEx.
  • Book rooms as directed for meetings.
  • Submit food requests for meetings.
  • Order supplies and submit equipment requests.
  • Process expense reimbursement requests and allocate cost as directed.
  • Organize incoming communications and distribute as directed.
 
EDUCATION AND EXPERIENCE
  • Minimum of High School diploma.
  • 0 – 4 years in a support function role.
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Microsoft office including Outlook.
  • Extensive Excel report creation and data entry.
  • Professional demeanor.
