POSITION SUMMARY:

Administrative Assistant role providing clerical support to the Managing Director, China and other staff in the China region as required.

 

ORGANIZATIONAL RELATIONSHIPS:

The Executive Administrative Assistant reports to the Managing Director, China of Bell Helicopter.

 

HUMAN RELATIONS:

The position requires strong interpersonal and communication skills, including the ability to effectively communicate with various levels of management and customers. The candidate may also interface with the broader Bell team on behalf of the Managing Director, China. The candidate must be a highly-focused self-starter with the ability to multitask and work with minimal supervision in a fast-paced environment. He or she must be able to quickly develop the respect of internal and external customers, to successfully execute the responsibilities of this position.

 

PRINICIPAL DUTIES & RESPONSIBILITES:

 

  • Screen and direct phone calls; Coordinate/sync weekly and monthly schedules of all assigned employees and adapt to rapid schedule changes; order, track, and maintain office supplies; manage correspondence.
  • Assist in report, presentation, and document preparation for both internal and external communications in compliance with established brand guidelines.
  • Schedule and coordinate various internal and external meetings at varying levels of management and provide support in hosting and/or conducting meetings as needed.
  • Assist the Managing Director, China in the preparation of both domestic and international travel arrangements and processing of expense reports; Organize visas for business and/or personal travel, arrange medical appointments, utility services, etc. for Bell Employees working in the China office.
  • Utilize and develop new tools, such as SharePoint, to enhance internal communication.
  • Serve as representative for Managing Director, China to both internal and external customers and review and edit all correspondence as it applies to the Managing Director, China.
  • Coordinate events and functions with the approval of the Managing Director, China or alternative designated Office representative;
  • Assist sales personnel with processing expense reports and proficiency with CONCUR system.
  • Take on various ad hoc tasks and projects, requiring the ability to accept new challenges and prioritize work appropriately.

REQUIRED EDUCATION AND EXPERIENCE:

 

  • High School Diploma or GED is required
  • College degree preferred

·         Five (5) years administrative support experience is required.

·         Candidate must be proficient in Microsoft Office applications, including Excel, Outlook, PowerPoint, and Word.

·         Candidate must be able to maintain confidentiality, exercise good judgment, and exhibit a high level of integrity and discretion.

·         Candidate must maintain a professional demeanor with both internal and external customers/vendors at all times.

·         Candidate must have passed the Bell Helicopter computer-based assessment by demonstrating proficiency in Microsoft Excel, PowerPoint, Word, and typing at least 50 wpm.

·         Training to be provided for proficiency with CONCUR, VISTA, and other applicable computer systems as may be required.

 

OTHER REQUIREMENTS:

 

Travel Requirements:  Limited travel.

Overtime:  Some overtime should be expected.

 

The candidate should be a disciplined, confident, self-starter individual, that exhibits strong time-management skills, a high level of attention to detail, and team work skills. Fluent in Mandarin and English. Computer literate (experience in SharePoint preferred), possesses strong critical thinking and problem solving skills, with the ability to work independently.
