Job Summary

This position reports to the Director of Aviation. Responsibilities: Initiates and prepares reports required by company policy for accounting. The Office Coordinator also manages accounts payables, receivables, time card system (payroll), and record systems for the Aviation Department. They will also configure and maintain software unique to the Flight Department. They will participate in strategic planning and policy formation for the Aviation Department and demonstrates a high level of knowledge of policy and procedures.

 

The Office Administrator serves as a backup for the Aviation Department Scheduler will be trained in Company aviation schedule management applications and processes to ensure seamless service is provided when the Scheduler is unavailable.  

 

Minimum Qualifications and Job Requirements

The person should also have effective communication skills and defined methods to communicate to crewmembers, maintenance personnel, and company personnel.  The position requires demonstrated knowledge and skill with computer productivity software (MS Word, Excel, PowerPoint) as well as an aptitude and desire to implement, configure and maintain software required for successful operation of the Aviation Department.    Ability to extract information from disparate applications to build operational reports.   Undergraduate college degree in business is preferred.  

 
Essential Job Functions
 
  • Prepares financial entries and analyzes monthly financial activities for compliance and appropriateness.
  • Assist in development of annual capital and expense budgets.
  • Develop KPI reporting for the Aviation Department and others as applicable.
  • Ensures internal controls and data integrity to drive consistency and accuracy.
  • Assists in the procurement and payment of goods and services for the Aviation Department. 
  • Assists in sourcing and on-boarding approved vendors. 
  • Provides support to groups and individuals within the Company including tax, legal, compensations, regulatory, and executive as it pertains to flight operations and procedures.
  • Maintains an administrative turnover folder describing all administrative functions and processes; 
  • Reviews vendor and employee invoices and vouchers, as they apply, prior to their approval for payment; 
  • Ensures adherence to corporate and departmental policies and practices
  • Reviews operating and expense budgets for accuracy, completeness and compliance with established assumptions
  • Creates, maintains and monitors metric data to track aircraft and crew utilization as well as aircraft cost of operation 
  • Understand the Scheduling function and serve as the Scheduler as required when the Scheduler is absent for PTO, training, Jury Duty, illness or other occasions.   
  • Participates in and leads special projects; 
  • Responsible for weekly timecard submission and coordination with corporate payroll system.
  • Assumes additional duties as delegated by the Director of Aviation.
